STANDARD OPERATING PROCEDURE

FOR NEW MEMBERS RECEPTION AT JAKARTA GOLF CLUB

(ACCORDING TO AD/ART GATHERING)

 

I. INTRODUCTION

In establishing continuous legal existence of Jakarta Gold Club as the oldest golf facility in Indonesia and according to the mandate on the Jakarta Golf Club's Articles of Association and Bylaws, herein the standard operating procedures for reception of new members must be firmly set up.

 

II. DEFINITION OF PROSPECTIVE NEW MEMBERS.

Prospective new members who are eligible for normal Indonesian memberships Warga Negara Indonesia (WNI) are:

  1. Men and women of Indonesian citizenships who are older than 21 years old or have already married and live in Jakarta or its surroundings. 

Prospective new members who are eligible for normal foreigner memberships (WNA) are:

  1. Men and women of friendly countries who have representation in Indonesia.

 

III. COMMITTEE OF NEW MEMBERSHIPS RECEPTION (PANJA).

 

  1. The committee is formed by new member reception decree from the management.
  2. The committee is responsible to the management and reports its activities directly to the management plenary meeting session.
  3. The committee carries out its duty according to AD/AT JGC.

 

IV. PROCEDURES FOR NEW MEMBERS RECEPTION.

A.  Reception Criteria for Indonesian Members (WNI):

  1. Fill a membership application letter.
  2. Obtain a recommendation from 2 (two) members who have been active for at least 5 (five) years until now and who are not in the management.
  3. Carry out golfing activities according the rules set by the management.
  4. Approved by the management according the standard procedure that is established by the management to fulfil the membership requirement.
  5. Entrance fee payment can only be paid after the interview and approval from management who is in-charge of the interview directly, and who will sign the required forms.
  6. Prospective JGC members are not allowed to leave or deposit the fee first before the interview takes place and the management has agreed for the approval.
  7. Newly aceepted members who have fully paid the entrance fee as well as membership premium and the necessary taxes, will be given a temporary membership card that is valid for 3 (three) months.
  8. All new members must attend the Members Inauguration Event that is hosted by the management of Jakarta Golf Club where they will receive a Permanent Membership Card.
  9.  Indonesian membership is valid for a lifetime.
  10.  The membership is prohibited from being passed to another entity before it lasts at least 20 years and the member is at least 70 years old unless he/she is declared incapable of playing golf by a certified doctor.

B. Reception Criteria for Members with Foreign Citizenship (WNA):

The reception criteria for member with foreign citizenship is as follows:

  1. Prospective member is a citizen of nation(s) friendly to Indonesia with representatives in the country.
  2.  Prospective member must behave well, ethically and willing  to interact with other members.
  3.  Prospective member must have work permit and residence permit.
  4.  Approved by the management according the standard procedure that is established by the management to fulfil the membership requirement.
  5.  Entrance fee payment can only be paid after the interview and approval from management who is in-charge of the interview directly, and who will sign the required forms.
  6.  Prospective JGC members are not allowed to leave or deposit the fee first before the interview takes place and the management has agreed for the approval.
  7.  Newly aceepted members who have fully paid the entrance fee as well as membership premium and the necessary taxes, will be given a temporary membership card that is valid for 3 (three) months.
  8.  All new members must attend the Members Inauguration Event that is hosted by the management of Jakarta Golf Club where they will receive a Permanent Membership Card.
  9.  Foreigner membership is valid for as long as the work permit and residence permit are legally active.

C. Reception Criteria for a Corporate Membership:

  1. Membership validity for a legal entity is 5 (five) years, and can be extended by paying a new entrance fee after approval from the management.
  2.  Each and every corporate body is only allowed to have 2 names that are eligible to play, and any change(s) to other name can only be carried out after a minimum of 6 (six) months with a written statement from the same corporation, which must then be reported and approved by the management.
  3.  The corporation must be officially and legally active at the date of the reception, and must fulfill all required documentation for an active corporation. The management will determine additional criteria of a corporation for this reception procedure.
  4. Entrance fee payment can only be paid after the interview upon the approval signature from the management on the required forms. Prospective JGC members are not allowed to leave or deposit the fee first before the interview takes place and the management has agreed for the approval.

D. Reception Criteria for Transfer of Membership.

  1. Members must submit written statement verifying transfer of membership to the prospective new member with a stamped signature from both parties.
  2.  Members must fill membership application form.
  3.  The transfer of membership is only eligible for Indonesian and foreigners are prohibited from any membership transfer.
  4.  Prospective members must be recommended by 2 (two) current members who have been active for at least 5 (five) years and who are not in the management team.
  5.  Prospective members must vow to carry out golfing activities according to the rules set by the management. 
  6.  Approved by the management according the standard procedure that is established by the management to fulfil the membership requirement.
  7.  Entrance fee payment can only be paid after the interview upon the approval signature from the management on the required forms. Prospective JGC members are not allowed to leave or deposit the fee first before the interview takes place and the management has agreed for the approval.
  8.  The memberships acquired from ownership transfer has a lifetime validity. 

E. Reception criteria for a collective membership

  1. The number of members allowed in a collective membership is 10 (ten) members.
  2.  The interview schedule is determined by the head of JGC.
  3.  The entrance fee payment must be carried out with cash and not through transfer.
  4. The head of JGK will decide the approval of the interview to verify the minimum number of members in the prospective collective membership group.
  5. The names of prospective members that will be collectively processed is listed by the membership department of JGC and will be categorized within certain groups.
  6.  The completion of entrance fee payment will be carried out according to the valid procedure on the forms that have been agreed upon by the head of JGC.
  7. The collective membership is valid for Indonesian citizen.
  8.  The collective membership is valid for a lifetime.

F. Reception Criteria for Ambassador Membership.

  1. Submit an application letter to the head of Jakarta Golf Club.
  2.  Fill in the membership form.
  3.  Attach any valid and up-to-date letter verifying active diplomatic status.
  4.  Must be honorable during all track records of active service in Indonesia.

G. Prospective Member Evaluation by The Membership Committee.

  1. The committee will evaluate the completeness and legality of the new member and any additional supporting documents in determining the approval.
  2.  Prospective members must attend the interview held by the committee.
  3.  Prospective new members must attend a golf-playing skill test with the committee and/or with a professional JGC player that is appointed by the management. The test will measure:  
  •  Golf-playing skills 
  •  Knowledge levels about the golf-playing rules 
  •  Individual character of the prospective member.

4. Then, the committee will sign the approval contract for the prospective new member who has fulfilled the criteria at point 1 above.

H. Completion of All Administrative Procedures.

  1. The newly accepted member must pay the entrance fee and dues according to the valid rules latest 15 days after the date on which the committee has approved the membership, where member will be given a temporary membership card.
  2.  If the newly accepted members do not carry out his/her responsibilities as stated at point 1, the membership approval agreement will be cancelled.
  3. Prospective JGC members are not allowed to leave or deposit the fee first before the interview takes place and the management has agreed for the approval.

I. Inauguration of New Members.

  1. The management will determine the inauguration date for the new JGC members.
  2.  New members will receive a permanent membership JGC card during the inauguration.
  3.  New members who are not inaugurated by JGC management will only be given a temporary JGC membership card that is valid for 3 (three) months.
  4.  New members who are not able to attend the inauguration must be present at the next inauguration date. 

All other decisions regarding the reception of new members and discretions from the management that have not been included in this presentation will be drafted published individually.
